ABOUT THE ROLE
The Document Controller will have to ensure the smooth running and successful delivery of archiving, templates development, documentation, and archive. Ensure a Fit for context, clearly written and to the appoint documentation with relevant Visual where possible, up to date, discoverable & tracked.
PURPOSE OF THE ROLE
Keep a professional maintained organized and updated document, using document management software, and ensuring proper and secure storage; typing contracts, archiving files ensuring all team members have access to necessary documentation.
ACCOUNTABILITIES
Reporting to the Project Control Manager, Executive Director and the client, the role will involve the following duties and responsibilities:
Copy, scan and store documents
Check for accuracy and edit files, like contracts
Review and update technical documents (e.g. manuals and workflows)
Distribute project-related copies to internal teams
File documents in physical and digital records
Create templates for future use
Retrieve files as requested by employees and clients
Manage the flow of documentation within the organization
Maintain confidentiality around sensitive information and terms of agreement
Prepare ad-hoc reports on projects as needed
Keep records of the hard and soft copies of the documents related to the project, including but not limited to – GIS data, site analysis, technical documents as well as all formal documents related to implementation partners contracts.
Documentation has to be organized and recorded in accordance with Riyadh Art approved procedures.
Maintain logs and provide reports
Transfer all records at the final acceptance of the contract to Riyadh Art in electronic and hard copy in a determined format
Establish processes, procedures and work instructions compatible with Riyadh Art’s procedures
Manage the receipt, logging, control, tracking, and processing of all project documents
Refine procedures for the tracking of documentation between the implementation partners and any third parties
PROFESSIONAL QUALIFICATIONS, KNOWLEDGE & EXPERIENCE
Experience working in GCC / Middle East is essential
Good communication skills.
A careful eye for detail.

To enjoy working as part of a team.
IT skills.
The ability to prioritize workload.
A demonstrable track record of solid Project Manager experience
Must be a safe pair of hands, dependable, energetic and confident liaising and negotiating with various internal and external stakeholders.
Highly competent using trackers, meeting deadlines, monitoring and reporting .
Able to control large-scale, confidential contracts for each package.
A gatekeeper with a pro-active, hands-on approach
Excellent communication skills
