Exhibition Specialist

JOB PURPOSE

Planning and organizing local exhibitions, consolidating them into an annual agenda, and coordinating activities according to plans, including exhibitions and others. Build and maintain internal and external relations with :

  • Exhibition management companies

  • Media companies

  • The list of relevant federal and local agencies / bodies

  • Other relevant government departments in Abu Dhabi

Key Duties and Responsibilities

  • Organizing and updating the annual agenda of exhibitions, including exhibitions that are organized, participated in or sponsored.

  • Coordinating the dates of exhibitions throughout the year to highlight the activities and permanent coordination with the relevant departments.

  • Achieving the needs and goals of partners.

  • Reviewing exhibition materials (PR, panel discussions, conferences, lectures, presentations, etc).

  • Exhibitions media coverage in coordination with the concerned departments

  • Evaluating the efficiency of exhibitions, their results and benefit from feedback, questionnaires

  • and recommendations after the completion of each event to improve and develop performance.

  • Coordinate activities according to communication plans and ensure compliance with them by internal or external stakeholders.

  • Keeping records of all exhibitions and a comprehensive database of all exhibitions and related details.

  • Contribute to the development of the objectives of the exhibitions, the target groups and the expected outputs of the exhibitions.

  • Preparing the necessary guidelines for the management of exhibitions/ and educating government agencies in this regard.

  • Following up and ensuring the implementation and commitment of the authorities to the guidelines and submitting reports and recommendations.

  • Evaluate the efficiency and effectiveness of the implementation of exhibitions and participation in them, measuring it and submitting analytical reports and recommendations.

  • Managing logistics during the exhibition’s implementation process, directly including schedules, contacts / invitations to attend, registration / answering calls, menu management, transportation, food and drink, workspace allocation, audio / video, etc. or through exhibition organizing companies.

  • Monitoring and following up on exhibitions during implementation and making sure that they proceed as planned.

  • Activate the presence of a security and safety plan on site in cooperation with the competent authorities.

  • Distribution of materials for exhibitions (seminars, conferences, lectures, presentations, etc.)

  • Coordinate activities according to communication plans and ensure compliance with them by internal or external stakeholders.

  • Carry out any other tasks assigned by the head of the Exhibitions Department

Knowledge, Qualifications and Skills required

  • Essential (must have to perform the role)

  • At least a bachelor’s degree in business administration / Public Relations / Marketing or equivalent

  • At least 2- 4+ years of experience in a similar field of work

  • Knowledge of all local and international office tasks and operations

  • Know-how to coordinate services for events such as facilities management / Billboards / printing / catering / exhibition security

  • Knowledge of media production, communication, distribution methods and techniques and their application

  • Relationship management and communication

  • Exhibition Management

  • Problem solving, data collection and analytical skills

  • Presentation skills

  • Arabic Language skills

  • English Language skills

  • Computer skills
