About the role

The Event Manager is responsible for leading and coordinating transport management for our clients' events in France and abroad. Be the dedicated contact point for the client in the operational follow-up of his event, from the briefing to the post-production. Responding to the specific needs of each event with a tailor-made organization and solutions. Ensuring the link between the client and the different actors (internal or external) of the project.
 

Key Responsibilities

  • Study the specifications of the event

  • Attend meetings with the customer (AO, briefing, location scouting, follow-up meetings, debriefing...)

  • Accompany and advise the customer by adapting his expectations to the possible constraints related to the place of the event

  • Carry out one or more preparatory scouting trips (travel in France and abroad to be planned)

  • Select, coordinate, and lead the project team and the various internal and external actors

  • Define and plan the needed actions and their deadlines of execution (retroplanning)

  • Define, set up and coordinate the material and infrastructure needs necessary for the project

  • Define, set up and coordinate the human needs necessary for the project

  • Manage the event team, supervise the schedule and the roles repartition

  • Manage the team logistics (accommodation, equipment, IT tools...)

  • Manage / supervise the different suppliers’ relationships

  • Produce and set up the tools and documents for the successful completion of the project

  • Establish and update the estimated budget of the project for the customer

  • Follow and optimize the costs and the net margin realized

  • Identify, anticipate and manage the possible constraints and difficulties related to the event and the destination

  • Supervise the team and the organization of the project during the event

  • Supervise the services charges reporting and the sending of the pre-invoicing statement to the client

  • Ensure the administrative and financial closing of the project (minutes, expense reports, invoicing...)

  • Carry out an internal post-production REX and highlight best practices and areas for improvement

  • Write a post-event report, qualitative and quantitative, shared with the client

  • Report to the Events Director on the progress of the project and any difficulties encountered.

 

Candidate Requirements

Knowledge

  • English speaking (+ French and/or another language would be a plus)

  • Proven international experience of at least 3 years in event transportation

Soft Skills

  • Leadership and a strong sense of team and project management

  • Taste fo challenge, and very good management of stress and difficulties

  • Ability to work in high mobility environment, involving availability, flexibility, and adaptability

  • Excellent ability to structure, coordinate, supervise, delegate, and make decisions

  • Rigor, method, organization, and management of priorities

Technical Skills

  • Strong sales/negotiation skills, ability to propose and find solutions

  • Relational skills (oral and written) and a taste for customer contact
