ABOUT THE ROLE

We are seeking an experienced and highly dedicated individual to join our team as a Personal Assistant to the Founder. This position offers a unique opportunity to work closely with a leading current figure in the creative and cultural industries. The ideal candidate must be proactive, detail-oriented, and capable of handling a wide range of responsibilities while maintaining the utmost professionalism and confidentiality.

Responsibilities

  • Manage the Founder’s Schedule: Coordinate and maintain the Founder’s daily schedule, including meetings, appointments, interviews, and public appearances. This involves meticulous planning and coordination with various stakeholders to ensure smooth execution.

  • Travel Arrangements: Arrange and organize all travel logistics, including flights, accommodations, ground transportation, and visas. Adapt quickly to last-minute changes and emergencies, ensuring the Founder’s comfort and safety throughout their travels.

  • Confidentiality: Handle sensitive and confidential information with the utmost discretion. Maintain strict confidentiality protocols regarding the Founder’s personal life, business matters, and any ongoing projects.

  • Personal Requests: Accommodate personal requests made by the Founder, including shopping, personal errands, and other miscellaneous tasks. Anticipate their needs and preferences, ensuring they are met promptly and efficiently.

  • Event Coordination: Coordinate and oversee the logistics of various events, such as appearances, functions, and social gatherings. This includes liaising with event organizers, stylists, makeup artists, and other professionals to ensure seamless execution.

  • Problem-Solving: Demonstrate exceptional problem-solving skills in high-pressure situations. Proactively identify potential issues and provide effective solutions to minimize disruptions to the Founder’s schedule or image.

  • Handling Requirements: Possess the physical stamina and endurance to handle the demands of the role, which may include long hours, working under pressure, and being on-call. Be adaptable and ready to handle unexpected situations with poise and professionalism.

  • Personal Styling: Coordinate the Founder's wardrobe and personal styling needs. This includes collaborating with stylists, designers, and fashion houses to curate outfits for events, photo shoots, and public appearances.

  • Health and Fitness Support: Assist in maintaining the Founder’s health and fitness regimen by coordinating appointments with medical practitioners and wellness experts. Ensure that the Founder has access to the necessary resources for maintaining their physical well-being.

Requirements

  • Previous Experience: A minimum of 5 years of experience as a Personal Assistant or in a similar role, working with high-profile individuals VVIP.

  • Exceptional Organizational Skills: Strong ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment. Attention to detail is crucial, ensuring accuracy in all aspects of the role.

  • Discretion and Confidentiality: Demonstrated ability to maintain strict confidentiality and handle sensitive information appropriately.

  • Excellent Communication Skills: Exceptional verbal and written communication skills, with the ability to adapt communication style to various individuals and situations.

  • Flexibility and Adaptability: Ability to thrive in a dynamic and ever-changing environment, adjusting quickly to shifting priorities and last-minute changes.

  • Resourcefulness: Strong problem-solving skills, with the ability to think quickly on your feet and find creative solutions to challenges as they arise.
